This Privacy Policy describes how Christina Thalassinidis, professionally known as Christy Thalassinidis, operating under the brand Wellness with Christy™ (hereinafter, "we," "us," "our," or the "Coach"), collects, uses, and protects your information.

This Privacy Policy applies to information collected through the Wellness with Christy™ website, the Practice Better client portal, online forms, email communications, virtual coaching sessions, and any other products or services offered by Wellness with Christy™.

Information We Collect

We collect two categories of information: (1) Personal Information, which includes contact, technical, financial, and communication information used to administer our services, and (2) Sensitive Health Information that you voluntarily provide in connection with our coaching services.

Personal Information

•  Contact Data: Name, email address, phone number, and mailing address, collected through website forms (including opt-in and contact forms), the Practice Better enrollment process, and the checkout process for paid services.

•  Financial Data: Payment card details (last four digits, expiration date) and billing address.

Note: Full payment card information is processed by our third-party payment processor (currently Stripe through the Practice Better platform) and is never stored directly by the Coach.

•  Technical Data: Internet Protocol (IP) address, browser information, device information, and general location information derived from your IP address. Collected automatically via website cookies and analytics services (e.g., Google Analytics).

•  Communications: Records of your correspondence with us via email or Practice Better messages.

Sensitive Health Information

This sensitive information may be collected during all interactions with the Coach, including, but not limited to, the initial complimentary consultation, and any related intake or follow-up forms. We make reasonable efforts to store Sensitive Health Information primarily within our secure client management platform (Practice Better), which provides encrypted storage and communication.

•  Health History & Wellness Data: Information provided by the Client regarding diagnoses, symptoms, medications, supplements, test results, lifestyle, food journals, goals, and coaching progress notes.

•  The foregoing information may constitute individually identifiable health information ("IIHI"), depending on the nature of the information provided.

How We Use Your Information

We use the information we collect for the following legitimate business purposes:

•  To Deliver Services: To provide the Core Services, including 1:1 sessions, asynchronous support, program content, and tracking progress as defined in the Client Coaching Agreement. (Contractual Necessity)

•  To Process Transactions: To process payments for the Program and manage billing via our payment processor.

•  To Communicate: To respond to inquiries, send service announcements, policy updates, and communicate about scheduled sessions.

•  For Marketing: To send occasional promotional emails, newsletters, or information about new programs, only if you have provided your consent or otherwise authorized us to send such communications, as required by applicable law.

•  Legal Compliance: To comply with legal obligations, enforce our contracts, protect our rights, or respond to lawful government requests.

Sharing and Disclosure of Your Information

We do not sell, trade, or rent your Personal Information or Sensitive Health Information to third parties. We only share information with the following trusted third-party service providers who assist us in operating our business:

•  Practice Better: Client management, secure health record storage, appointment booking, and encrypted messaging. (Our primary data processor)

Data shared:  Personal Information, Sensitive Health Information, and Coaching Notes.

•  Payment Processors: All financial transactions are securely processed by our third-party payment processor - Stripe - through the Practice Better platform.

Data shared: Financial Data (not full card details), Name, Billing Address.

•  Google Meet: To host virtual coaching sessions.

Data shared: Name, email address, and information communicated during the virtual coaching session.

•  Email Service Provider: To send newsletters and marketing communications, where you have provided your consent or where otherwise permitted by applicable law.

Data shared: Name and email address.

We will only disclose your information to external parties when required by law (e.g., court order, subpoena) or when necessary to prevent imminent harm to the Client or others.

Data Retention

Client records are generally retained for seven (7) years following the conclusion of coaching services, unless a longer retention period is required or permitted by law, necessary to resolve a dispute, comply with legal or insurance obligations, or enforce our agreements. When information is no longer required for these purposes, it will be securely deleted, anonymized, or otherwise disposed of in accordance with our record retention practices.

Children's Privacy

Our website, programs, and coaching services are intended solely for individuals who are at least eighteen (18) years of age. We do not knowingly collect, use, or disclose personal information from anyone under the age of eighteen (18). If we become aware that we have inadvertently collected personal information from a person under the age of eighteen (18), we will take reasonable steps to delete such information as soon as practicable. If you believe we may have collected information from a minor, please contact us so that we may investigate and address the matter promptly.

Data Security and HIPAA Notice

Non-HIPAA Status: Wellness with Christy™ is an independent certified health coach and is not a HIPAA Covered Entity or Business Associate. We do not bill health insurance or participate in standard electronic healthcare transactions.

Security Commitment: Despite not being HIPAA-mandated, we adhere to best practices for data security to protect your highly sensitive information. We utilize the security features and encryption provided by our client management platform, Practice Better, which maintains industry-standard safeguards to protect all Client data in a secure, encrypted environment.

In the event of a breach of unsecured, individually identifiable health information, to the extent applicable, we will comply with the Federal Trade Commission's Health Breach Notification Rule by providing required notifications without unreasonable delay.
